We are looking for a detail oriented Office Manager for a well-established dental office in Langley. The back office staff is very supportive and is in need of someone to manage the front office and patients. This candidate will have a receptionist background with a CDA. A common sense, friendly, outgoing health conscious candidate with the desire for a long term role to grow with this practice. Ideally someone living in the community or nearby. This role encompasses many roles and activities and learning on the job will be supported for the right candidate with a positive outlook.
Responsible for administering the day-to-day activities of the business office, including: maintenance of the records of patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office.
Manage day-to-day operations of dental office. Open and close dental office according to office protocol. Review the office for a neat, professional appearance and make necessary changes. Check the daily schedule for accuracy and post it in all treatment rooms. Answer and respond to telephone calls with professionalism.
Marketing / Social Media
Be actively involved in the marketing strategy and growth of the practice and website. Someone who enjoys communicating with people through all channels including community involvement with a creative mind would be ideal.
Maintain a professional reception area; organize patient education materials, etc. Greet and welcome patients and visitors to the practice. Check in patients according to office protocol, verifying and updating patient information. Manage recall and inactive patient system. Schedule patients for efficient use of doctor, hygienist and staff time. Check patient quick-fill list to try to fill in cancellation and no-show appointment times. Experience working with insurance companies and collection of payment from patients at the time of treatment. Make follow-up appointments and a keen sense of how to effectively book in advance as needed.
Good interpersonal skills to maintain effective rapport with patients, dentists, other staff members and community. Detail oriented, outgoing, warm personality with strong organization skills. Excellent verbal skills to communicate with patients and staff. Team player, able to adapt to office policy improvements. Conflict resolution experience. Customer service or patient relations experience.
